Coronavirus Company Preparedness Checklist

AAFA has assembled the following checklist of procedures, for consideration, based upon what fellow AAFA members are deploying to address COVID-19. For questions, or to provide additional intelligence, contact Nate Herman.

  • ☐ PLAN DOCUMENTATION
    • Have you:
      • ☐ Reviewed or established a flexible Coronavirus plan?
      • ☐ Involved your employees in developing and reviewing your plan?
      • ☐ Conducted a focused discussion or exercise using your plan, to find out ahead of time whether it has gaps or problems that need to be corrected?

         

  • ☐ HYGIENE AND SOCIAL DISTANCING
    • Have you:
      • ☐ Developed and communicated workplace hygiene and social distancing protocols?
      • ☐ Implemented policies to encourage frequent handwashing with soap for 20 seconds?
      • ☐ Provided adequate soap and hand sanitizer?
      • ☐ Implemented routine cleaning of common areas and surfaces?
      • ☐ Minimized exposure between healthy employees and those showing signs of sickness?
      • ☐ Provided protective equipment to workers such as safety googles, disposable masks, and disposable gloves?
      • ☐ Instituted a process for the discarding and removal of used protective equipment?
      • ☐ Established a policy to screen all visitors and confirm their travel history?
      • ☐ Implemented a policy to encourage employees to stay home if they are sick without risk of losing their job and/or without risk of losing pay (e.g., paid sick leave)?

         

  • ☐ STAFF FLEXIBILITY & LEAVE PLANNING
    • Have you:
      • ☐ Developed flexible leave policies to allow employees to stay home to care for sick family members or for children if schools dismiss students?
      • ☐ Considered paid family and medical leave?

         

  • ☐ CONTINGENCY PLANNING
    • Have you:
      • ☐ Communicated contingency plans for workers?
      • ☐ Allowed for telecommuting and/or flexible work hours (e.g., staggered shifts)?
      • ☐ Ensured that you have the information technology and infrastructure to enable and support multiple employees working from home?
      • ☐ Evaluated arrangements for pay and benefits for non-exempt workers due to temporarily closing a facility, such as a distribution center or call center?
      • ☐ Considered plans on how you could run your distribution center on a skeleton staff? (e.g., protocols for interactions between distribution center staff and truckers?)
      • ☐ Considered ways to operate your call/customer service centers remotely, from workers’ homes?

         

  • ☐ BUSINESS OPERATIONS
    • Have you:
      • ☐ Identified essential business functions, essential jobs or roles, and critical elements within your supply chains (e.g., raw materials, suppliers, subcontractor services/products, and logistics) required to maintain business operations?
      • ☐ Planned for how your business will operate if there is increasing absenteeism or supply chains continue to be interrupted?
      • ☐ Assessed the need for travel and visits from individuals that have been overseas in the past 14 days and stay up to date on travel restrictions?
      • ☐ Assessed the need for staff in a physical location to operate distribution centers and retail stores, run the servers, process payroll, sign checks, etc.? 
      • ☐ Assessed the need to keep retail operations open or revise store hours to abide by social distancing recommendations?

         

  • ☐ EMPLOYEE NOTIFICATIONS
    • Have you:
      • ☐ Set up authorities, triggers, and procedures for activating and terminating the company’s coronavirus plan, altering business operations (e.g., possibly changing or closing operations in affected areas), and transferring business knowledge to key employees?
      • ☐ Shared your pandemic plan with employees and explained what human resources policies, workplace and leave flexibilities, and pay and benefits will be available to them?
      • ☐ Added a “widget” or “button” to your company web page or employee websites so employees can access the latest information on coronavirus?

         

  • ☐ COLLABORATIONS
    • Have you:
      • ☐ Shared best practices or collaborated with other businesses in your communities (especially those in your supply chain), chambers of commerce, and associations to improve community response efforts?
      • ☐ Engaged state and local health department to confirm channels of communication and methods for dissemination of local outbreak information?
