Coordinator, Events and Programming

About this Job:

The Coordinator of Events and Programming supports functions of the association’s meetings, webinars, and events. The successful candidate is highly organized, communicates clearly, produces work with attention to detail. The coordinator must have prior association experience in membership engagement, events coordination, webinar platforms, and membership databases. The position reports to the Vice President of Events and Programming. 

Specific Responsibilities:

    Webinar Coordination:
  • Execute logistical and technical components of AAFA’s annual webinar program. 
  • Once webinar sponsorship is confirmed, identify and schedule webinar dates in coordination with association initiatives and other events.
  • Create production schedules for sponsors to follow for webinar presentation. Including but not limited to:
    • Webinar title, description, learning objectives, and speaker information.
    • Webinar setup and registration page setup via website and database.
    • Create webinar invoice, submit to sponsor, and follow-up to ensure payment is received.
    • Secure AAFA Policy team member as moderator.
    • Draft marketing materials and monitor registration.
    • Rehearse with speakers and facilitate live presentation of webinars.
    • Upload recorded webinars to the AAFA Learning Center. 
    • Prepare post webinar reports and distribute to membership.
  • Maintain master webinar schedule to ensure a robust and balanced schedule.

  • Event Logistics and Administrative Support:
  • Assist VP, Events and Programming with planning and logistics for in-person and virtual events including but not limited to food & beverage needs, audio-visual requirements, room block management, room sets, virtual event setup and execution, coordination with external vendors.
  • Create and maintain website landing pages for events including registration setup iMIS/RISE platform.
  • Work with Communications and Marketing team to create effective messaging and marketing materials to promote events and webinars. 
  • Collaborate with Director, Membership Experience & Industry Engagement as needed to ensure all sponsor deliverables are fulfilled. 
  • Support the Membership Department in connecting with first-time attendees or new members by promoting their attendance at applicable conferences.
  • Assist in development, deployment, and updating of mobile event app content, as applicable.
  • Process event registrations via iMIS for speakers, sponsors, and special rates. 
  • Coordinate printing and shipping of items to events including badges, collateral, and signage. 
  • Maintain event statistics, historical information, and guidance documents for relevant event processes and tools.

Required Skills & Qualifications:

  • Two years association experience, bachelor’s degree preferred.
  • Database proficiency and experience with association management systems. (iMIS/RISE experience a plus)
  • Proficiency in Microsoft Office.
  • Proficiency in GoToWebinar, Zoom, or other webinar platform experience.
  • Strong organizational, problem solving, and time management skills.

Policy Intern

About this Job:

AAFA offers competitive internship opportunities in our Policy Department. The department is interested in legislative and regulatory matters at national and international levels, while directing lobbying and advocacy responses for matters affecting the apparel and footwear industries.

We focus our policy work around three core pillars: brand protection, trade, and supply chain and manufacturing. 

Key responsibilities:

  • Participate in virtual meetings with AAFA members on policy-related matters as well as occasional external meetings with government agencies and members of Congress.
  • Support the creation of AAFA regulatory resources and tools.
  • Support the development of letters and agendas and summarize regulatory updates.
  • Support development of presentation content for policy-oriented speaking engagements.

Personal characteristics and qualifications:

  • Demonstrated interest in trade, legislative, and regulatory matters.
  • Demonstrated interest in corporate social responsibility and/or sustainability a plus.
  • Detail-oriented and well-organized.
